Person Group and Date Filtering

If the Persons tab on your Select Owner dialog box displays a Person Group field and a Date field above the Persons table window, you can filter the list of persons by the values in these fields.

• Person Group. An owner group is a person group that has been assigned to a ticket or work order. If the record already specifies an owner group, the Person Group field in the dialog box displays that owner group and the table window displays only the persons belonging to that group.

  To display persons in another person group, click the Select Value button in the Person Group field, select another group, and click Refresh.

  To display all persons, clear the Person Group field (and Date field, if it contains a value) and click Refresh .

• Date. Use the Date field to filter according to the availability of persons as defined by their calendars.
  Note: When you open the Select Owner dialog box, the Date field might be empty or it might contain a value the system uses to automatically filter the list.  A system administrator specifies this behavior using the Ownership Assignment Options action in the Organizations application.

  If the Date field is empty, you can enter a date and time and click Refresh . The system checks the calendars of the persons in the Persons table window and lists only those who are available for the date and time specified.

  If the Date field contains a value, then the system automatically filtered the list of persons for availability when the dialog box opened. To determine a value, the system compares the current date and time with the values in the Reported Date and Target Start fields of the record, and uses whichever value is latest.

  To remove the filtering, clear the Date field and click Refresh.

  To see who is available at a different date and time, enter the value in the Date field and click Refresh.

  For example, suppose the Person Group and Date fields are empty when you open the dialog box. You specify a person group and a date and time, and click Refresh. The system displays only the persons in the specified group who are available on the specified day and time.
