Current Work Items

Current Work Items displays tasks for a change or service request record. It is only used in the Changes and Service Requests applications.

The Changes application uses workflows to orchestrate the lifecycle of a change record. At each step of the process, certain tasks need to be performed to complete that step (for example, scheduling the Change implementation). The workflow moves the record through the process by assigning the appropriate tasks to users at the appropriate time in the process.

An important aspect of tracking the progress of a record through the process is understanding which tasks are currently outstanding and who is working on them. For example, it may be necessary to reassign a task if the current owner will not be able to complete it in a timely manner. Similarly, task owners need an easy way to indicate that their task has been completed, so that the record can move to the next step of the process.

The Service Requests application only uses workflows for the optional approval step in the lifecycle of a service request record. For the remainder of the lifecycle of a service request record work plans are used.

Use the Current Work Items list to both monitor and update workflow tasks. All the current tasks to be performed for the record are listed in the Current Work Items section. Users can click on any of the listed tasks to view, reassign, or complete them.

The following are the possible workflow assignment tasks for a record:

The icon type identifies the action that can be taken on a workflow assignment task.

Icon Description
task for users icon represents a workflow assignment task that the logged-on user owns and can complete or reassign.
task for users and others icon represents a workflow assignment task that the logged-on user, and others, own and can complete or reassign.

When the links next to these icons are selected, a dialog pops up that gives the user the option to complete or reassign the task.

task logged on user does not own, assigned to other users icon represents a workflow assignment task that the logged-on user does not own; it is assigned to other users.

When the links next to these icons are selected, a dialog pops up that shows details for the selected assignment. If the user has the authority reassignment icons will be visible in the workflow assignments table. When selected, the user will be shown a dialog giving him the option to reassign the selected assignment task.

How to grant the authorization to reassign another user's workflow assignment tasks:

  1. Launch the Security Groups application (Go To > Security > Security Groups)
  2. Open the group for which you wish to grant access.
  3. Go to the Applications tab and select the desired application. (At present Current Work Items is only used in the Changes and Service Requests applications.)
  4. Locate the “Reassign another user's workflow assignments” item in the Options table and select the “Grant Access” checkbox.
  5. Save the record.
