Planning licenses for work orders

In the Work Order Tracking application, you can add software license requirements when you plan work orders.

About this task

When the work order is approved, a reservation is created for the license capacity requested, and the quantity of available license capacity is recalculated to subtract the reserved license capacity. License capacity costs are included in the costs of the work order. No purchase requests or item requisitions are automatically created. No changes are made to inventory tracked in the Item Master application.

The following instructions explain how to plan license requirements for work orders.

Procedure

  1. Display the work order for which you want to plan licenses.
  2. On the Licenses subtab on the Plans tab, click New Row.
  3. In the License field, specify a license.
  4. In the Requested Capacity field, specify the amount of capacity required.
  5. In the Required Date field, specify the date on which the license capacity must be available.
  6. In the Line Cost field, specify the cost of the license.
  7. To plan an item for a specific task, specify a task in the Task field.
  8. Enter or modify data in the other fields as needed.
  9. Save the work order, or click New Row to plan other licenses for the work order.

Results

When the work order is approved, the Requested Capacity and Available Capacity fields in the Licenses application are updated to account for the reserved license capacity. The Requested Capacity field displays the total quantity of license capacity reserved, including this reservation and any other reservations for the license. The Available Capacity field displays the quantity of license capacity that is available for use. To calculate the available capacity, all license capacity that is allocated or reserved is subtracted from the total capacity of the license.

When a work order is completed, canceled, or closed, all license reservations associated with the work order are deleted, and capacity is recalculated.
