Setting up customer contacts

For each contact that you specified in a customer record, you create a person record in the People application. Customer contacts might work for customer, or they might be your employees. The person record is the central record for personal information about individuals, such as users, supervisors, and individuals who receive notifications by e-mail.

About this task

People in your enterprise can work with a specific customer or with multiple customers. When work requirements change, you can change the customers that a person can work with.

To associate people with a customer that you have defined, go to the People application (Go To > Resources > People) and click New asset to create a new person record. Consult the online help for this application (Help in the upper right corner) as you enter information for the record.

Note: You can also define a person record for a customer contact from within the Customers application. To do so, open the customer record in the Customers application, open the Contacts tab, click New Row, click Select Value beside the Contact field, and select Go To > People. After you create the person record for the new contact, you are returned to the Customer application, and the new contact is displayed in the Contacts table.

Typically, you want to ensure that you supply the following information for the person record:

  • The name, address, and e-mail address of the person that you are adding, along with any other basic information about the person.
  • If you are defining a record for a customer or vendor employee, the customer or the vendor in the Cust/Vendor field.
  • The CUSTOMER, INTERNAL, or VENDOR specification in the Cust/Vend Type field.
  • Optionally, for an internal employee record, a customer access list. Created in the Customer Access tab, this list is used if you want to segment your workforce by customer. You can also create the access list later, when you set up security. For more information, see "Controlling access to customer data."
