Person records and user records

There are some differences between the way that Control Desk Service Portal and IBM Control Desk manage user and person records.

IBM Control Desk

In IBM Control Desk you can create a person record for a person or for an entity that you want the system to recognize. For example, you can create a person record for a functional entity that does not have login rights. Creating a "person" with no login rights is useful in cases where you want to send email to a functional entity. That functional person record needs to exist for email purposes, but there's no need for anyone to log in to the user interface.

In IBM Control Desk, the right to log in to the user interface is controlled by the user record. Each user record that you create in IBM Control Desk must be associated with a person record. When you create a user record in IBM Control Desk, you are prompted to create a person record to associate the user with.

In IBM Control Desk, a person record can exist without a corresponding user record. However, each user record must be associated with a person record.

Control Desk Service Portal

When you create a person record in Control Desk Service Portal, a user record is also created at the same time. The underlying assumption is that all persons in Service Portal require user rights, including the right to log in to the user interface. In the Service Portal, the entry that administrators specify in the User ID field creates the following database entries:
  • user ID
  • person ID
  • login ID
