Creating item master records from software

Use the Software Catalog application to create new item master records from one or more software records in the software catalog.

About this task

From the Software Catalog application, you can generate items in the Item Master application based on existing software catalog records. The Item Master application is used to define items, including software, that will be stocked in storerooms.

Also, if you designate an item as software, you can specify that an item requires a license. If you specify in the Item Master application that a software item requires a license, when you receive the item, the inspection status for that software item will not be set to complete until you associate the software with the appropriate license. This feature helps ensure a license is properly associated with the software when you receive it.

You can create an item master record from any software catalog record, regardless of origin. When you create an item master record from a software catalog record, the item master record is automatically linked to that catalog record.

This task additionally allows you to list multiple software catalog records, and then simultaneously create one new item master record for each software record that you select from the list. You can assign default item attribute values (for commodity code, order unit, and vendor) to all of the new item master records you are creating, tailor each of the new records individually, or assign the same default values to all the new records and then tailor any of those records individually.

The steps for creating item master records from software follow.

Procedure

  1. On the navigation bar, click Go To > Administration > Deployed Assets > Software Catalog.
  2. On the toolbar, display all records for software products, or use the table filter or Advanced Search to filter the list of records that you want to create the new item master records from.
  3. Click the Select Records check box and then select one or more software catalog records that you want to create items for.
  4. On the toolbar, open the Select Action menu and click Create Item Master.
    Note that when the Create Item Master window is displayed:
    • One row is displayed for each software catalog record that you selected.
    • Default values can be added and applied to the entire list.
    • Individual rows can be edited as needed.
  5. On the Create Item Master window, in the Items section, complete the required Item field in each table row, or generate the item value automatically for all your selected records together, as described in step 6.

    Note that the item and any other values that you specify in the expanded Details section of a row apply only to that row. Values that you specify in the Default Values section apply to all rows.

  6. To generate the required Item value automatically for all selected catalog records:
    1. Go to the Default Values section of the window.
    2. From the Item Generation field, click the Select Value menu.
    3. Select PRODUCT ID or SOFTWARE NAME.
    A unique item value will be generated for each selected record, based on the choice that you selected in substep c.
  7. Optional: In the Default Values section, enter a value for one or more of the Default Commodity Code, Default Order Unit, or Default Vendor fields. Complete the Classification field if you want to manage the classifications of the item master records you are creating.
  8. Click Apply Defaults. The Details sections of all of the selected software catalog records are populated with the default values that you entered.
  9. Optional: In the Items section of the window, you can further tailor the records in the table individually by row. Just expand each row that you want to change and modify one or more of the editable fields in the Details section.
  10. Click Generate Items to create the software listed in the Items table as new items in the Item Master application.

    The items are created with the same default status that would be used if the item had been created from the Item Master application.

    Note that you can create more than one item master record from a single software catalog record—just invoke the Create Item Master action again. There is no limitation on the number of authorized item records that can be based on one software catalog record.

    All new items are tracked as nonrotating items.

  11. Optional: To verify your new item master records, from the navigation bar click Go To > Inventory > Item Master, display one or more item master records that you want to verify, select a record, and from the Item tab verify the classification, commodity code, and order unit values. You can additionally verify the vendor value on the Vendor tab.
