Associating licenses with software contracts

On the Contract Line Items tab in the Software Contracts application, you can associate software licenses with a software contract line item.

About this task

You can associate a license with a software contract only if the status of the contract is approved (APPR).

To associate a line item with a license, you can select one or more licenses from a list of all available licenses. You can also choose to narrow your search by selecting from a list of licenses that have the same vendor as the contract (Associate by Vendor) or by selecting from a list of licenses that are associated with software products (Associate by Software Product).

When you associate a license with a contract line item, the application performs a calculation to determine how much of the license capacity is used for this line item. It compares the number of licenses that you have associated with the line item to the total capacity for the licenses and tells you whether you are below capacity, at capacity, or above capacity. Capacity calculation does not include contract line items for software maintenance.

The following steps explain how to associate a license with a software contract line item.

Procedure

On the toolbar, click Go To > Contracts > Software Contracts.
On the List tab, select the software contract that you want to associate with a license.
In the Contract Lines table window on the Contract Line Items tab, select the contract line item to associate with the license. You must associate a license with a contract line item. If no contract line items exist, create one.

To select one or more licenses to associate with the line item, choose one of the following options:

Option	Description
To select from a list of all available licenses	Click Associate Licenses. In the Associate Licenses to Contract Line window, select one or more licenses to associate with the line item. Click OK.
To select from a list of licenses that are associated with the same vendor	Click Associate by Vendor. In the Associate Licenses by Vendor window, select one or more licenses to associate with the line item. Click OK.
To select from a list of software products that are associated with software licenses	Click Associate by Software Product. In the Associate Licenses by Software Product window, select one or more licenses to associate with the line item. Click OK.

The licenses that you selected are displayed on the Contract Line Items tab.

Complete other fields on the contract as needed and click Save Software Contracts.

Results

After you save the contract, licenses that are associated with contracts are displayed on the Associated Licenses tab. On the Contract Line Items tab, information about the amount of license capacity used by contract line items is displayed in the Utilization field in the Contract Lines table window.
